Committee Vacancies at 2022 AGM

We currently have a full committee but a few people are only continuing until the AGM on 28 October. Here is your chance to join a keen group of club members and help make our club even better than it already is.

  • Chris Cameron is resigning as Regalia Officer. Chris has spent 5 years on the committee in this role and has made a massive contribution to the club. Nominations for Regalia Officer are sought. As our regalia supplier is located in Wollongong, this role would be ideally suited to a member from Illawarra Chapter.
  • Joe Kovacic is resigning as Motorsport Assistant and has nominated for Vice President (Andrew Lord is not continuing beyond the AGM). Nominations for Motorsport Assistant are sought. A nomination for Motorsport Assistant has been received from Jason Atkins.
  • Ken & Maggie Liston are resigning as Membership Assistant. Ken & Maggie served on the committee for 13 years as Membership Secretary before the position was restructured as an ex-officio role in 2021. Their 14 years of service is unprecedented and the committee extends our sincere gratitude for their contribution. Nominations for Membership Assistant (ex-officio) are sought. A nomination for Membership Assistant (ex officio) has been received from Pam & Jeff Rowe.

 The current role description for each position is provided below:

 

Regalia Officer

The Regalia Officer shall:
(a) Determine, in conjunction with the Committee what regalia items are to be created and maintained as normal stock. Stock items will nominally include: headwear (caps, sun visors, beanies, scarves), polo shirts (small stock of sizes), UV protection long sleeve polo (small stock of sizes), and racing regalia.
(b) Non-stock regalia items are to be managed by pre-orders and pre-payment on a bi-annual basis for summer and winter items.
(c) Liaise with regalia representative from each Chapter to facilitate orders of Chapter regalia, if requested.
(d) Allow flexibility for Chapters to order stock through the Regalia Officer at the same time to reduce unit costs.
(e) Ensure that all Chapters use the MX-5 Club of NSW logo without modification of the design or differential colouration of the logo text. Addition of the Chapter name below the logo is permitted and encouraged.
(f) Create and produce regalia items through liaison with suppliers. This may be managed through a database.
(g) Purchase regalia items for stock, and manage pre-orders and payments for non-stock items.
(h) Record stock and sales through a database that displays item of stock, colour. size, stock quantity, purchase cost, stock on hand costs, sale price and items sold with payments to the Club.
(i) Manage the production, stock, promotion and sale of club regalia through actively attending club events with regalia.
(j) Analyse stock and sales and manage regalia inventory accordingly.
(k) Financial management with the banking of regalia sales. Inform Treasurer of all banking details with date and amount banked monthly. Each Chapter is to manage their own financial management with the banking of regalia sales unless other arrangements have been made with the Regalia Officer.
(l) Maintain an E cash book showing, stock on hand carried over from financial year to the next, month, date stock ordered, item description, cost of stock including embroidery, stock on hand and banking details and date of banking. This report is to be sent to the Treasurer on the annual cash flow for regalia or as asked.
(m) Report to the Committee monthly.

 

Motorsport Assistant

The Motorsport Assistant shall:
(a) Attend Committee meetings and contribute to the management of the Association.
(b) Assist the Motorsport Secretary as directed.
(c) Gain familiarity with responsibilities of the Motorsport Secretary.
(d) Manage motorsport-related social media.
(e) Connect with the Media on Club motorsport activities in conjunction with the Motorsport Secretary.

 

Membership Assistant

This is NOT a committee position - it is ex-officio.

The Membership Assistant shall:
(a) Arrange the production and postage of membership packs for new members and member renewals.
(b) Arrange the collection and postage of name badges ordered by the Membership Secretary from the supplier.
(c) Update stationery supplies as needed.
(d) Supply receipts of expenses to the Treasurer for re-imbursement.
